It’s also a booming market. Here in Asia, events are set to be worth USD 567.10 billion by 2026, with the mega-event market for meetings, incentives, conferences, and exhibitions in Thailand alone set to be worth USD 12.23 billion by 2027.
If you’re looking to tap into the thriving event market and bring your brand closer to your audience, these five general steps can help you in your journey.
Step 1: Establish Your Goal and Guest List
The first step to planning a successful event is establishing a clear goal. This key element will help determine every single decision you will have to make moving forward, so take your time to figure out your goals and objectives.
Remember: Though events are powerful marketing tools, they aren’t the be-all and-all of your marketing efforts, and so the goals must be specific. Are you looking to launch a product? Boost brand buzz? Establish connections with stakeholders?
From there, it’s easier to identify whom you are inviting. Whose presence will help you reach your goal, and who will benefit the most from your event?
Take our work with Fluocaril as an example. To build awareness of its double-action fluoride formula among Gen Z consumers, we created Fluocaril Fun Fest: Double the Fun, Double the Protection. The event was held in Siam Square, a hub for Gen Z, over a busy weekend to maximize visibility.
To engage the audience, we introduced interactive vending machines for product sampling, adding an element of surprise. Knowing music’s influence on this demographic, we also incorporated a live T-Pop performance, creating high-energy moments that made the event both memorable and shareable.
No matter how big or small, your guest list will help you think more concretely about the event you’re planning. Along with your event goals, your guest list’s tastes and style will dictate the vibe and overall experience of your event.
Step 2: Dream Up a Killer Concept
Once we know our goal and audience, the next step is to craft a concept that makes the event unforgettable. A strong theme should be bold, memorable, and true to the brand. Ask yourself: What kind of experience will have people talking about this event days later? That’s the level of impact we’re aiming for.
Creativity is key, but it needs to be purposeful. The best events go beyond aesthetics—they create an experience that feels immersive and engaging. This could mean unique decor, interactive elements, or unexpected entertainment that captures attention and sparks conversations. Every detail should be designed to resonate with the audience and bring the brand’s message to life.
For example, when Spotify wanted to celebrate Pride Month while highlighting self-expression through music, we developed the My Spotify campaign. The goal was to showcase how Thai Gen Zs use Spotify to express their identity, particularly through user-generated playlists. To bring this to life, we created an immersive in-person party that brought together artists, media, and VIP influencers, with LGBTQIA+ creators at the center of the experience. From campaign messaging to influencer engagement and media outreach, every detail reinforced Spotify’s commitment to self-expression and inclusivity.
Similarly, the passion of BTS’ Thai fanbase inspired our concept for the BTS Yet to Come: Concert Movie project with Prime Video. Understanding that fans crave connection—not just with their favorite artists but with each other—we created a fan experience that brought over 1,200 attendees together. The event featured interactive booths and activities, allowing fans to celebrate BTS in a way that felt immersive, engaging, and deeply personal.
At the same time, great ideas need to be realistic and achievable. While it’s important to think big, the concept has to work within the client’s budget and timeline. The best concepts strike a balance between innovation and feasibility, ensuring that what’s imagined can actually be executed.
Step 3: Pick the Perfect Venue and Plan the Fun Stuff
From the big, broad strokes of your event, it’s now time to think of the specifics.
One of the most important details you’ll need to decide on is your event venue, as this sets the stage for everything—from the event flow to the overall vibe. Make sure your chosen venue fits your crowd, your theme, your tech needs, and your overall vision.
Take Ray-Ban’s first brand ambassador Jeff Satur’s launch event in Thailand as an example. The challenge was to find a venue that not only reflected Ray-Ban’s bold, timeless style and innovative spirit but also captured Jeff’s authentic and iconic persona. We chose The Portal, a massive nightclub on the 39th floor of Sathorn Square, conveniently located in the same building as our client’s office.
The venue’s LED tunnel and massive LED screens provided a dynamic backdrop, allowing us to showcase stunning visuals and motion graphics, fully immersing guests in the campaign. Not only did this enhance the overall visual impact, but it also helped reduce production costs by minimizing the need for printed materials.
Beyond choosing the right venue, it’s equally important to plan interactive experiences that engage the audience and bring the brand to life. In this case, we curated two key activities to elevate the guest experience. First, we arranged a special performance by Jeff Satur, complete with full-scale lighting and sound, creating an electrifying atmosphere. Then, after the private party, we designed an intimate meet-and-greet session, allowing fans to personally connect with Jeff in a way that felt exclusive and memorable.
From product demos at a launch event to live entertainment at a pop-up, interactive elements are what make an event truly engaging. Whatever you choose, always go back to your foundation—your goals, your guests, and your concept—to ensure every detail enhances the overall experience.
This is how picking the perfect venue and planning the right activities come together to create an event that is memorable, engaging, and impactful.
Step 4: Plan Smart and Spend Right
Once your concept and venue are set, it’s time to focus on execution. This step is all about the details—from set-up to showtime, ensuring every moment runs smoothly. A detailed spreadsheet can help visualize the timeline, assign responsibilities, and track key milestones to keep everything on schedule.
A major factor in execution is budget allocation. With limited resources, it’s crucial to invest in what truly matters. Elements like lighting, sound, and visuals can transform an event, creating an immersive atmosphere that leaves a lasting impression. A well-lit venue and high-quality sound system elevate the experience, ensuring guests feel the energy from the moment they walk in.
For the Adidas Vibes campaign, the goal was to generate excitement, awareness, and engagement for the new fragrance collection, making it the ultimate “Talk of the Town”. At the heart of the activation was the Playnarium concept, a multi-sensory experience that allowed consumers to “feel the vibe” through interactive zones inspired by each fragrance. Guests explored scents that matched their moods through immersive games and installations, making the brand experience both fun and memorable.
Beyond the 4-day consumer event, we ensured the budget was spent strategically to create sustained momentum before, during, and after the launch. This included hyper-realistic social media content, 3D assets for influencers, a visually appealing PR kit, and an interactive TikTok filter, all designed to maximize buzz and extend the campaign’s reach.
Planning smart and spending wisely means prioritizing impactful experiences and amplifying visibility, ensuring that every element works together to bring the brand to life in a meaningful way.
Step 5: Make It Happen and Measure the Magic
By the time your event starts, you will have already done the bulk of the work, and it’s now time to see all the seeds you sowed in the previous steps grow and bear fruit.
From set-up to wrap-up, stay calm, be creative, and always think on your feet. Running an event will test your problem-solving skills because Murphy’s Law is definitely real: Anything that can go wrong will go wrong, and it’s your job to be able to keep things smooth and adapt on the fly.
Of course, mistakes will happen, and that’s okay. The important thing is to be able to deliver on your event’s goals, keep guests happy, and learn from them so you can make your next event even better. It’s also a good idea to track what worked and what didn’t through feedback, engagement, and social buzz.
Some key metrics you can look at are the number of tickets sold and/or the number of event check-ins, the level and type of social media engagement your event is getting, the revenue generated during your event, as well as post-event sales. It’s also a good idea to disseminate surveys to guests and sponsors post-event, as well as gather feedback from within your team and among volunteers.
Event Management is a Muscle—Train It
Like most skills, you will get better at event management the more you do it. Over the years, some of the key lessons we’ve learned include:
- Prioritize the attendee experience: Keep your audience engaged, entertained, and delighted at every turn.
- Prepare for the unexpected: If something can go wrong, it just might. Never underestimate the power of a solid contingency plan, and stay flexible.
- Ensure safety first: Secure contracts and insurance with vendors to protect against any unforeseen issues.
